Your Letters To Prospects

One of the most important tools you have is the ability to send letters to your prospects. Go to Home, Documents and Mail. In the center of the page, is a list of already composed letters to prospects. Shown are some demos. Click on New at the top. A new window will open and you can compose your first letter.

How to setup your letter

At the top of the window, go to the field entitled Data Object. Click on the drop-down menu and select the Object or module from which you want to extract information. In this instance, we have chosen Prospects. This caused the right hand menu to show all the fields within the Prospects Object or module. Enter your company information at the top of the letter. This will stay the same in most cases from letter to letter. Next, enter the prospects information below it. Since we want to show the prospects name, we place the cursor where we wish to place the information and click the left button. Then, go over to the right menu and look down the list for the prospects first name. Double click in the blue block at the left of the field desired.

Do this for every item of information throughout the letter. You are actually designing a letter template. Therefore, this template will have placeholders for each field you want to include when you finish. Name the document and Save it. Make as many templates as you need for each different mailing. You may want to create a series of letter templates to use on each prospect in your list.
